# Manage Dashboard

> Portfolio cash flow, ROI, occupancy, value, loans, and the Needs attention list.

The Manage Dashboard is the home page of the Manage zone. Open it from **Dashboard** in the Manage sidebar. It summarizes the properties and period selected in the filter bar.

<Info>
  **Key things to know**

  * **Cash flow** is operating income minus operating expenses for the selected period. Acquisition, capital spending, and debt service are shown apart from that number.
  * **Lifetime** shows **Lifetime ROI**, which is cumulative. Other periods show **Annualized ROI**.
  * **Needs attention** is a working list. Changing the date range does not clear those items.
  * Click an item to open the matching Portfolio tab, or to record a loan payment.
</Info>

## Work the page

<Steps>
  <Step title="Set the scope">
    Leave the property filter on **Portfolio** for everything you manage, or pick one address. Choose **Current month**, **Last month**, **Year to date**, **Lifetime**, or **Custom date range**.
  </Step>

  <Step title="Read the five metrics">
    Cash flow, ROI, occupancy, portfolio value, and loans update for that scope. A failed load shows an error with a retry instead of zeros. When you come back to the browser tab, the numbers and the Needs attention list update in place. The map keeps its position unless the set of properties with issues changed.
  </Step>

  <Step title="Pick a Needs attention category">
    Start with **All Issues**, or open one category such as **Missing Rent** or **Loan Payments**. **High** items are the ones to clear first.
  </Step>

  <Step title="Act on the item">
    Most items open the property on the matching Portfolio tab. A loan item opens **Record loan payment**.
  </Step>

  <Step title="Update the status">
    Set **New**, **In Progress**, **Contacted**, **Scheduled**, **Resolved**, or **Dismissed**. The change is attributed to you.
  </Step>
</Steps>

**+ Add Property** on this page is the same chooser as in Portfolio. See [Getting properties in](/manage/getting-properties-in).

## Portfolio metrics

| Metric | What it shows |
| - | - |
| **Cash flow** | Operating income minus operating expenses for the selected period. Labeled **For the selected period**. |
| **Annualized ROI** or **Lifetime ROI** | Cash flow compared with purchase price, confirmed buying cost, and recorded capital expenses. Estimates are excluded. Lifetime is cumulative and labeled **Cumulative cash flow / investment**. Other ranges annualize average monthly cash flow. A zero investment basis shows no percentage. |
| **Occupancy** | Occupied units across the managed units in the filter. |
| **Portfolio value** | Current property values. Purchase price is used when no current value exists. The detail line is appreciation: portfolio value minus purchase price. |
| **Loans** | Total loan balances, plus **Next payment** for the upcoming installment. |

<Tip>
  Open the info icon on **Portfolio value** to see how many properties have a current value and where those values came from. Comps values update as comps change. Appraised values and What If values stay at the amount saved on the card. Change the basis in the property's Deal Calculator.
</Tip>

ROI here is a cash-flow yield. It is not a total return and it is not a tax calculation. Purchase price, confirmed buying cost, capital projects, and loan payments are visible, and they are not subtracted again inside the cash-flow number. The same math is used on [Financials](/manage/financials).

## Needs attention

The heading is **Needs attention**. The subtitle is **Rent, loan payments, renewals, and maintenance. Select an item to take action.** The count badge is the number of items in view.

<Tabs>
  <Tab title="Map">
    Pins are the properties in the selected category. The map frames those properties the way Deal Hub frames a ZIP. One far-away property does not pull the view across the country. Hover an item in the list to highlight its pin. The list shows properties currently inside the map view. Click a pin to open the property.
  </Tab>

  <Tab title="Table">
    The same categories and items, without the map. Use this when you want to scan statuses and change them in a list.
  </Tab>
</Tabs>

| Category | When it appears | Where a click goes |
| - | - | - |
| **All Issues** | Every open item. | The tab that matches that item's category. |
| **Loan Payments** | Installments due this month through the next 7 days that are not fully recorded. | **Record loan payment**. |
| **Missing Rent** | A unit with an active lease and expected rent, and no rent payment recorded for the current month. | Portfolio **Leases**. |
| **Vacant Units** | A unit with no active lease, or not marked occupied. | Portfolio **Leases**. |
| **Tax Due** | An unpaid property tax due within 30 days. | Portfolio **Taxes**. |
| **Lease Expiring** | An active lease ending within 30 days. | Portfolio **Leases**. |
| **Insurance Expiring** | A policy expiring within 30 days. | Portfolio **Insurance**. |
| **Systems Life** | A building system at the end of its expected life, or within 1 year of it. | Portfolio **Systems**. |

Each item is **High** or **Medium**.

### Statuses

| Status | Use it when |
| - | - |
| **New** | Nobody has started. |
| **In Progress** | Someone on the team is working it. |
| **Contacted** | You have reached the tenant, carrier, lender, or vendor. |
| **Scheduled** | A date is set, such as a repair or a renewal conversation. |
| **Resolved** | The underlying issue is handled. |
| **Dismissed** | You have decided not to act. |

Resolving the status does not by itself record rent, pay a tax, or renew a lease. Update the Portfolio record or the Financials row so the item stops qualifying. A dismissed item is your note that you are ignoring it on purpose.

### Loan payments from the dashboard

**Record loan payment** saves a payment you already made. It does not send money to the lender. A partial payment lowers the amount still remaining. The installment month stays separate from the date you paid, so an early or late payment can settle the intended month.

<Note>
  Reminders use the payment day on the loan. Change it with **Edit payment day** in Portfolio. A blank day uses the loan start day. Days 29-31 fall on the last day of a shorter month. Changing the day does not record a payment. See [Portfolio](/manage/portfolio).
</Note>

<AccordionGroup>
  <Accordion title="ROI is blank">
    Cash-flow ROI needs an investment basis: purchase price, plus any confirmed buying cost, plus recorded capital expenses. A zero basis shows no percentage. Estimates on the property card do not fill this in. Confirm buying cost on Financials if the purchase is missing its closing costs.
  </Accordion>

  <Accordion title="Cash flow looks too high">
    Cash flow ignores acquisition, capital projects, and debt service on purpose. Those amounts have their own lines on Financials. A rehab budget that was never recorded as a payment also stays out of cash flow.
  </Accordion>

  <Accordion title="An issue vanished when I changed the property filter">
    The list follows the property filter and, on the map, the properties in view. Switch back to **Portfolio** and **All Issues** to see the full set. The date range does not build this list.
  </Accordion>

  <Accordion title="Missing rent is wrong">
    Expected rent and occupancy come from the lease. If the lease is missing, ended, or has no rent amount, the item will not match how you think about the unit. Fix the lease on Portfolio, then record the payment on Financials.
