# Documents

> Store statements, leases, policies, and other files, and open them from the property card.

Documents is the file vault for Manage. Open it from **Documents** in the Manage sidebar. Search by file name, filter by category or property, and sort by file, category, property, or upload date.

<Info>
  **Key things to know**

  * A file can be stored on its own, or assigned to a managed property.
  * The property card's **Info** tab lists the same files as the vault for that property.
  * Deleting a file removes it from both places. It does not delete a Buy original if the file was copied from a deal.
  * Uploads can be up to 20 MB, including scanned PDFs.
</Info>

## Two ways to open the same file

<Tabs>
  <Tab title="The vault">
    Documents is the full list. Search, filter, sort, upload, and delete across the organization. Files with no property still appear here.
  </Tab>

  <Tab title="The property card">
    Open a managed property and go to **Info**. **Documents** sits below the property details. It lists only files assigned to that property. Unassigned files, and files for a different property, are hidden.
  </Tab>
</Tabs>

The card and the vault share each document. Upload on the card and it shows in the vault after you refresh or reopen. Delete in either place and it is gone from both.

## Upload a file you only want to store

<Steps>
  <Step title="Start the upload">
    Click **Import**, then **Save a file**, or use the upload action on Documents. The window title is **Save a file**.
  </Step>

  <Step title="Describe it">
    Pick a category. Optionally assign a property, a statement month, and notes.
  </Step>

  <Step title="Save">
    The file is stored. No lease, expense, or loan is created. The toast says **Document uploaded**.
  </Step>
</Steps>

| Category | Typical use |
| - | - |
| **Statement** | A bank or property-manager statement. Choosing this on upload saves the file and opens Financials so you can review transactions. |
| **Lease** | The signed lease, when you are filing it rather than extracting fields. |
| **Insurance** | A policy PDF. |
| **Loan** | A note, closing disclosure, or statement. |
| **Tax** | A bill or receipt. |
| **Receipt** | A paid invoice. |
| **Inspection** | An inspection report. |
| **Maintenance** | A work order or vendor invoice. |
| **Other** | Anything else, including files just copied from Buy. |

<Tip>
  **Save a file** keeps the PDF. **Upload statement** and **Upload property document** read the file into records you still have to review. Use the first when you only need the file on hand. Use the others when you want transactions or lease fields. See [Import](/manage/import).
</Tip>

If you categorize an upload as **Statement**, Documents saves the file and opens Financials. If that handoff fails, the file is still saved. Open Financials and parse it from there. The message is **Statement saved but redirect failed. Go to Financials to parse.**

## On the property card

* Open a filename to view it.
* **Upload** adds a file to that property.
* **Delete** asks you to confirm, then removes the file from the card and the vault.

## Copied Buy files

Attachments copied during a move, or with **Copy BUY attachments**, start as **Other**. You can change the category, name, and notes. Those edits stay in Manage. The Buy file is a separate copy. See [Moving from Buy](/manage/moving-from-buy).

Select files and use **Delete Selected** to remove more than one. The confirm dialog lists the names. If some deletes fail, retry the ones that remain. A file that was already gone reports that the selection is no longer available.

<AccordionGroup>
  <Accordion title="I deleted a file and the pipeline attachment is still there">
    That is expected for a copy. Manage stores its own file. Deleting it does not delete the Buy original, the message it was sent in, or a quote or contract link on the deal.
  </Accordion>

  <Accordion title="The card does not show a file I know is in Documents">
    The card only lists files assigned to that managed property. Assign the property on the vault row, or upload from the card. Files for another property stay off this card.
  </Accordion>

  <Accordion title="The upload was rejected">
    The limit is 20 MB. A larger scan needs to be reduced before you try again. A failed read of a statement or property document still keeps the file so you can retry analysis or type the record.
  </Accordion>

  <Accordion title="Who can delete?">
    Deleting follows Manage's existing permissions, including admin access for deletion. If the action is missing, ask an admin.
  </Accordion>

<Note>
  Keep the page open while a Buy attachment copy is running. If it stops early, use **Import > Copy BUY attachments** and **Retry copy**. Completed copies are kept.
