# Import

> The shared Import menu for statements, property documents, spreadsheets, stored files, and Buy attachments.

Dashboard, Financials, Portfolio, and Documents share one **Import** button. The window title is **Import into Manage**, and the question under it is **What would you like to add?** Choosing an option opens the matching flow, on this page or on the page where the review happens.

<Info>
  **Key things to know**

  * Extracted statements and property documents are not saved as records until you review them.
  * If analysis fails, the file is kept and you can retry without uploading it again.
  * Spreadsheet import uses ProPilot's template. There is no step to map your own column names.
  * **Copy BUY attachments** only fills in files for a property already moved from Buy.
</Info>

## Upload a statement

<Steps>
  <Step title="Choose the file">
    PDF, image, CSV, or Excel. The limit is 20 MB. You can start from any Manage page. Financials opens for the review.
  </Step>

  <Step title="Match each line">
    Assign a managed property. Matching allows street-suffix differences, a missing ZIP, ZIP+4, and a trailing "USA". It checks every managed property, not only the one in the current filter. A blank address is filed as **General**. An address that matches nothing is offered as a new property before you save.
  </Step>

  <Step title="Check category, unit, and amount">
    Unit numbers stay on the row and save as unit-level income or expenses. Use **+ Add category** if you need a label you do not have yet. Debt-service rows must name a real property. They cannot use **General**.
  </Step>

  <Step title="Save">
    Income and expenses become Financials rows. Debt-service rows create loans and refresh **Debt Service**.
  </Step>
</Steps>

If analysis fails, use **Retry analysis** on the saved file. You do not upload it a second time. If you uploaded from Documents and the jump to Financials fails, the statement is still stored. Open Financials and continue there.

Images and scans are read with the rest of the file. A text layer does not hide a scanned page. A file that cannot be read fails outright instead of saving a cut-off result.

## Upload a property document

<Steps>
  <Step title="Choose the property">
    The picker lists your managed properties.
  </Step>

  <Step title="Choose the type and unit">
    **Lease**, **Insurance policy**, **Property tax**, or **System or warranty**.
  </Step>

  <Step title="Review in Portfolio">
    Correct extracted fields, then save. If reading fails, the dialog keeps the upload so you can retry or type the record. The error stays in that dialog.
  </Step>
</Steps>

## Spreadsheets

Download the template from the import window, fill it in Excel or as CSV, and upload it. The preview keeps every column visible, including blanks. Only valid rows continue. There is no screen for mapping arbitrary columns. Use the template headers, or the accepted alternate header names from the template.

<Tabs>
  <Tab title="Properties">
    Required columns are **Address**, **City**, and **State**. Optional **Unit** groups rows that share an address into one property. Up to 250 rows. Leases and loans are not created. The full column list is on [Getting properties in](/manage/getting-properties-in).
  </Tab>

  <Tab title="Financials">
    **Entry Type** is required: `income`, `expense`, or `debt_service`. Up to 1,000 rows. Valid rows use the same review as a parsed statement. Active custom category names are matched, ignoring capitalization. An omitted expense class uses the category default.
  </Tab>
</Tabs>

Financial columns you will use most:

| Column | Required | Notes |
| - | - | - |
| **Entry Type** | Yes | `income`, `expense`, or `debt_service`. |
| **Property Address** | For debt | Blank income or expense rows import as **General**. Debt rows need a property. |
| **Unit Number** | No | Kept through review and saved on income or expense rows. |
| **Category** | No | Your organization's category name, or a built-in name. |
| **Expense Class** | No | OpEx or CapEx. If you leave it blank, the category default is used. |
| **Amount** and **Date** | For transactions | The payment amount and when it happened. |
| **Vendor** and **Notes** | No | Notes prefer the real item text from the sheet. |
| Loan columns | For `debt_service` | Loan name, type, lender, balances, rate, payment, payment day, dates, purpose, interest-only, and amortization years. |

Debt rows create managed loans through the same loan records you edit on Portfolio.

## Copy BUY attachments

Use this when a move finished without every file, when you closed the page mid-copy, or when you want a deleted Manage copy back.

<Steps>
  <Step title="Open the action">
    **Import > Copy BUY attachments**.
  </Step>

  <Step title="Select the property">
    Only a property that was moved from Buy is a meaningful choice.
  </Step>

  <Step title="Copy attachments">
    Existing copies are skipped, including category, name, and note edits you already made. Failed names stay on the dialog. Click **Retry copy**. Originals in Buy do not change.
  </Step>
</Steps>

Details and the list of what never copies are in [Moving from Buy](/manage/moving-from-buy).

<AccordionGroup>
  <Accordion title="I closed the page during a copy or a statement upload">
    The property move can already be done. The file for a statement can already be stored. Reopen **Copy BUY attachments** or **Retry analysis** instead of starting over. Completed work is kept.
  </Accordion>

  <Accordion title="The wrong property was suggested">
    Matching is tolerant, and it is conservative about duplicates. On the review step, change the property picker before you save. Unmatched addresses are new-property suggestions, not silent creates, until you accept them.
  </Accordion>

  <Accordion title="My spreadsheet columns were ignored">
    Import does not map arbitrary headers. Download the template and use its column names. Extra columns are not a mapping UI.
  </Accordion>

  <Accordion title="A debt row failed">
    Debt service cannot be **General**. Give it a property address that matches a managed property, or create that property first.
  </Accordion>
</AccordionGroup>

<Warning>
  Review is the save. Extracted lines, suggested properties, and copied files you have not accepted are not yet income, leases, or a second source of truth. Read the preview before you confirm.
