Portfolio is the property list for Manage. Open it from Portfolio in the Manage sidebar. Each property is a row you can edit in place. Units sit under the property.
Key things to know
  • Tabs are General, Leases, Insurance, Taxes, Systems, and Loans.
  • Edits stay on the page while you switch tabs or the property filter. Save or cancel before you leave. Drafts are not kept after you close the page.
  • Archive selected removes properties from the active portfolio. Delete Unit removes a unit.
  • Occupancy and current rent on the financial views come from the lease records.
Use the property filter to see the whole portfolio or one address. + Add Property and Import sit on this page too. See Getting properties in and Import.

General

The General tab is the property and each unit. Select the checkbox on General rows, then Archive selected. One property uses Archive property. The confirm dialog names the address or the count. If some of a bulk archive fail, the failed rows stay selected so you can retry.
Archiving takes the property out of the active portfolio. It does not delete the Buy deal it was moved from, and it does not delete Documents on its own. Confirm you are archiving the managed property you intend.
Open a property card for the full workspace, including contacts and the Documents section on the Info tab. Contacts already linked to the original Buy deal appear here, along with contacts you add in Manage. See Moving from Buy.

Operating records

You can type a record or upload a document and review the extracted values before they are saved. If reading the file fails, the file stays attached. Enter the fields yourself or retry the upload. Nothing is saved until you accept the review.
Tenant, rent, start, end, and whether the unit is occupied. This is the source for Missing Rent, Vacant Units, Lease Expiring, occupancy, and expected rent. A unit with no active lease, or not marked occupied, shows up as vacant.

Add a lease from a file

1

Open Leases

Select the property if you do not want the whole portfolio in the table.
2

Upload

Use Upload on the row, or Import > Upload property document and choose Lease plus the unit.
3

Review

Check tenant, rent, and dates. Correct anything the file read wrong.
4

Save

Saved lease fields drive the Dashboard. If the read failed, the file remains and you can type the lease or retry.
The same review pattern is used for Insurance policy, Property tax, and System or warranty.

Loans

The Loans tab lists financing on the property. You can open the property’s Financing editor from here. Wait until the calculator settings finish loading, then save. Saving refreshes the managed loans. Loan types include conventional, FHA, VA, DSCR, hard money, seller financing, and others you already use on the deal calculator.
1

Edit payment day

Open Edit payment day on the loan. The schedule is what debt service and Dashboard reminders use. A blank day uses the loan start day. Days 29-31 use the last day of a shorter month. Saving the day does not record a payment.
2

Record a payment you already made

Use Record loan payment from the loan or from a Loan Payments item on the Dashboard. This does not send money. The installment month can differ from the date you paid, so an early or late payment can settle the right month. A partial payment reduces what is still due.
Loans can have a lender contact and a servicing contact. Either name opens that Messages thread in a new tab. You can also open the amortization schedule from the loan row.

Tables, drafts, and errors

Full screen expands the table and keeps what you have typed. Switch tabs or change the property filter and unsaved cell edits remain, as long as you stay on Portfolio. Leave the page, or refresh, and unsaved drafts are gone. Save or cancel first. If the list fails to load, you get an error with a retry. The page does not pretend the portfolio is empty.
Drafts last only while Portfolio stays open. A refresh, a closed tab, or leaving Manage drops them. Save the row before you switch zones.
Delete Unit removes that unit. Archive property takes the whole managed property out of the active list. The row menu uses the label that matches what you selected.
Occupancy is calculated from the lease, not from a note on General. Add or extend the lease, set the rent, and mark the unit occupied.
Managed property-card changes to purchase details, the rehab budget, and calculator settings ask before they update Financials. The rehab budget is still a plan until you record payments. See Financials.
Purchase price, rehab budget, and calculator changes on a managed property card ask you to confirm before they update Financials. A rehab budget does not create an expense until you record a payment.
