Buyer Identity is how your organization introduces itself to listing agents. The two fields on this page feed message signatures, offer letters, the buyer merge fields in templates, and the default sender email address. One identity is shared across the entire organization, so every teammate’s outreach presents the same name and company.

  • Buyer Identity is organization-wide. Changing it changes how every teammate’s new messages are signed.
  • Company Name is used to generate your default sender email address, so set it before completing Email Setup.
  • Merge fields such as and resolve from the values saved here.
  • Only admins and owners can save changes. Members see the page as view only.

Where to find it

Open Settings from the sidebar, then choose Buyer Identity under Basic Setup.

Click Save Profile to apply changes, or Reset to discard unsaved edits.

How to set it up

Enter Your Name

Use the name agents should reply to, such as “John Smith”, not an internal nickname. This is the name that signs your outreach.

Enter Company Name

Use the public or legal entity name you want in offer language, such as “ABC Investments LLC”. If you plan to use a ProPilot sender address, this name also seeds the suggested address.

Click Save Profile

Changes apply to new messages immediately. Messages that were already sent are not rewritten.

What this affects

  • Message merge fields - , , , and in Message Templates all resolve from Buyer Identity.
  • AI-assisted replies - automated and AI-generated messages sign with Your Name, so agents see a consistent person across the conversation.
  • Sender email address - Company Name is used to suggest the part before the @ in your default sender address. You can edit that address in Email Setup until your first email is sent.
  • Offer materials - offer letters and deal materials include the buyer name and company name.
It is used by Messages, Message Templates, Bulk Messaging, and Sequences.

What changes when you update it

  • New outbound messages and template previews use the updated name and company right away.
  • Existing sent messages keep the identity they were sent with.
  • Your sender email address does not change automatically. If it is already locked after your first sent email, it stays as is.
  • Personal profile details, such as your display name, call forwarding, and WhatsApp notifications, are separate and live in Your Profile.

Limitations

  • There is one Buyer Identity per organization. You cannot set a different buyer name per teammate or per deal.
  • Your Name is required; Company Name is optional, but templates that use will render an empty value if it is blank.
  • Only admins and owners can save. Members see a “View only” notice and need an admin to make changes.

Common questions

Templates that use pull the value saved on this page, not the text in the template. If a sent message shows an old or wrong company, update Company Name here and click Save Profile. New sends will use the corrected value.
No. Buyer Identity is organization-wide and controls outreach identity. Your Profile controls your personal display name, call forwarding, WhatsApp notifications, and preferences.
No. The organization shares one buyer identity so agents always see a consistent point of contact, no matter who on your team sends the message.
No. The sender email address is configured in Email Setup and locks after your first email is sent. Changing Company Name only affects merge fields and new suggested addresses.
