Getting started

At minimum: at least one saved ZIP code (the ZIPs button in the Deal Hub toolbar), your buyer identity (Basic Setup > Buyer Identity), a phone number (Basic Setup > Phone Number), and WhatsApp notifications activated from My Profile. The Get Started guide in the bottom-right corner walks you through every required setup step. See the Quickstart.
Click ZIPs in the Deal Hub toolbar to open the Add ZIP Codes window. Pick a state and city to add all ZIPs for a city, or type a single 5-digit ZIP in the same panel, then click Save ZIP changes. You can also click ZIP boundaries on the map. Your limit depends on your plan (Starter: 2, Pro: 25, Premium: unlimited). See ZIP Setup.
Newly added ZIPs lock for about 90 days before they can be removed, and only organization admins can remove them. Each saved ZIP shows a “Removable in X” badge until its lock expires.
Go to Basic Setup > Phone Number, choose Get an instant number from us, enter a US area code, and provision it. Prefer your own number? Connect Quo instead.
Open My Profile → WhatsApp, enter your number with country code, and click Activate. You’ll receive a test message to confirm it works. See WhatsApp Notifications.

Finding and analyzing deals

In Deal Hub, click the heart icon on a property card - it lands in the “Not Contacted” stage of your Deal Pipeline. Saved listings are hidden from Deal Hub browse because they live in your pipeline now. Messaging an agent from an unsaved listing auto-saves it first.
ProPilot finds recent comparable sales near the property, filters them by beds, baths, size, and sale date, removes extreme outliers, and weights the rest by similarity to produce a market value with a confidence grade. You can review every comp used and include or exclude comps yourself. See Comps.
It’s the most you can pay for the property and still hit your goal (formerly called Target Price). In ARV mode it solves from the after-repair value minus your margin, rehab, and buying costs. In ROI mode it solves from your return target. Rental and Flip each keep their own settings. See Deal Calculator.
From published HUD fair-market rents: ProPilot uses the ZIP-level figure when available and falls back to the county figure otherwise. It’s shown separately from the market rent estimate, and you can choose either as the rent source in the Deal Calculator.
Use Off-Market & Address Lookup. You can analyze any US address and add off-market deals manually. Deal Hub only shows on-market listings in your tracked ZIPs.
Defaults from Financial Presets and the organization’s default ROI targets (set with the gear icon in the Deal Calculator’s Max All In (Target) panel) apply to new analyses. A property where you explicitly edited values keeps your edits.

Pipeline

When you send or receive a message about a property, that deal automatically advances from Not Contacted to Contacted. Only the property actually discussed moves - other deals with the same agent stay put. See Stages.
Need Reply - the agent’s last message is unanswered. Scheduled SMS - a message is queued to send. Recently Contacted - you reached out recently. Awaiting Follow Up - a follow-up is due, from an explicit follow-up date or your org’s follow-up window after the last message. See Follow-ups.
Deals that sit in Lost longer than 30 days are removed automatically. Everyone gets an in-app notice about a week before. Message history is kept, and re-saving the property restores it to the first stage.
Open a property card and pick an owner, or select multiple deals and use the Owner bulk action. Filter the board by owner with the owner filter next to the status filter.
It’s hidden by default to keep the board focused. Use the Lost toggle (or Show Lost in the overflow menu) to reveal it; a badge shows how many deals are there.

Messaging and calls

Go to Advanced Settings > Communication > Templates, click New Template, set a name and content (with placeholders like and ), pick SMS or Email and the conversation context, and save. See Message Templates.
In the Deal Pipeline, select properties, then click Message in the selection bar to open Review & Send Messages. Bulk operations are on Pro and Premium plans. See Bulk Messaging.
You were outside your organization’s operating hours, or you used Queue Send, which books the next allowed window automatically. The message sends when the window opens. See Operating Hours.
Open a property’s conversation, go to the Calls tab, and click Call Now (you need a provisioned phone number and microphone permission). On Quo, use Call via Quo. See Calls.
Yes - SMS supports image and audio attachments, including voice notes you record in the composer. Files are capped at 5 MB; keep attachments under about 1 MB for reliable carrier delivery. See SMS Attachments.
The contact is opted out and ProPilot will not send them further SMS. The conversation shows an opted-out indicator. Use another channel (email or a call) if you still need to reach them.
Yes. Basic Setup > Email Setup walks you through adding a branded sending subdomain with DNS verification, with provider-specific guidance for Cloudflare, GoDaddy, Route 53, and Namecheap. Replies route back into ProPilot.

Sequences

Go to Sequences, click Add Sequence, choose the conversation type (New or Existing), add SMS, email, and call steps with wait times, and save. See Sequences.
The sequence pauses for that contact automatically - this is always on and can’t be disabled. The contact appears under Moved out on the step card, and the conversation is yours to continue manually.
Common skip reasons: the contact is already enrolled in an active sequence, has no usable phone or email for the step types, or doesn’t match the sequence’s conversation type (a cold-intro sequence skips agents you already have a thread with, and a follow-up sequence skips agents with no thread). Bulk enrollment and auto-enroll rules show the skip reason per contact. See Enrolling.
Sequences allow at most 2 SMS steps, and no two SMS (or two emails) can be scheduled within 24 hours of each other. The validation panel in the builder points to the exact step to fix. See Rules & Limits.

Team, plans, and billing

Go to Advanced Settings > Organization > Team & Roles, click Invite, enter an email, choose Admin or Member, and send.
Members work deals; admins also manage org settings (ZIP removal, deal tags, pipeline retention, goals); the owner additionally controls billing and roles. See Team & Roles.
Go to Advanced Settings > Organization and click Manage Plan or Manage Billing. See Billing & Plans.
Eligible new Starter accounts get a card-free trial after phone verification and go straight into the workspace - no plan to pick first. A banner shows the remaining time with Upgrade now and Book a demo. Only one free trial is available per verified phone number. See Billing & Plans.
Common reasons: the phone number was already used for a ProPilot trial, the organization already has billing history or earlier free access, or you’re joining as an invited teammate (only the organization owner can claim the trial). Signup continues to plan selection instead. See Billing & Plans.
Full Starter access ends when the countdown expires. You’re asked to choose a plan to keep using ProPilot. You can subscribe earlier anytime with Upgrade now on the trial banner - including Upgrade to Starter if you want to keep that plan and start paying.
You’ve used up a plan quota for the month (such as SMS, emails, rent estimates, or lookups). The Manage Your Plan window shows what ran out and your upgrade options. Quotas reset with your billing cycle.
Yes. Generate your code and share link in Advanced Settings > Organization. The organization you refer gets a discount on its first billable cycle, and you earn a reward after they pay their first invoice.
At checkout, enter it in the Have a code? field at the top. It accepts referral codes, access codes, and promotion codes - you don’t need to know which type yours is. Only one discount can apply per checkout.
