Organization is the admin hub for account-level settings. Use it when a change affects the whole organization rather than one deal or one user. Open Settings > Advanced Settings > Organization, then pick a section from the rail: Organization, Team & Roles, Rehab, Deal Terms, Deal Tags, Company Logo, Referrals, WhatsApp Operator, Timezone, or Usage.
Key things to know
  • Most sections require the admin or owner role; the organization name can only be edited by the owner.
  • Manage Plan and Manage Billing buttons at the top of the Organization section are the entry points to checkout and invoices - see Billing & Plans.
  • Usage shows live counters against your plan limits for the current billing period - check it before assuming a sending problem is a channel issue.
  • Pipeline cleanup timers (including Lost Auto-Delete) are configured in Pipeline Settings from the Deal Pipeline toolbar gear, not here.

Deal Terms

Deal Terms set the organization defaults for offer timelines and earnest money. Template placeholders such as , , and read from this section. Full field reference: Deal Terms.

Deal Tags

Deal tags are reusable colored labels for saved deals. They appear on Deal Pipeline cards and in the pipeline’s filter bar, so a consistent tag set keeps the board easy to slice.
  • New organizations start with three tags: Investor, Fund, and Wholesale.
  • Admins create tags under New Deal Tag: type a name (up to 40 characters), pick a color swatch, and click Add Deal Tag. Existing tags can be renamed, recolored, or deleted.
  • Keep names short and consistent - tags are most useful as a small, shared vocabulary.

Rehab

Rehab defaults control how the Rehab Cost estimate starts on new deal analysis.
  • Default method - the estimation method new deals start with (Quick estimate, Scope items, or Quotes) is set by admins from the Rehab Cost modal on a deal: pin a method tab with the pin icon next to the Quick / Scope items / Quotes tabs. It does not appear on this settings page.
  • Quick estimate defaults - the Quick setup new deals start with (a fixed amount, percent of basis, or per-square-foot repair type) is saved from the Rehab Cost modal on a deal by turning on Auto-apply to new deals. It does not appear on this settings page.
  • Per-square-foot rates - set the dollar-per-square-foot rate for each repair type (for example Light or Full gut). When a deal uses the Quick $/ft² mode, it multiplies the property’s square footage by the chosen type’s rate.
  • Auto-apply to new deals - toggled by admins from the Quick tab of the Rehab Cost modal on a deal, for any Quick mode. Turning it on saves the Quick setup currently shown as the organization default and makes Quick the default method; new deals are then created with that estimate already baked into their rehab cost and ROI. Deals with no known square footage are skipped on $/ft², and deals with no known ARV are skipped on % of ARV. It is not configurable from this settings page.
  • Scope items - maintain the Condition levels (each level is a percent of the item’s New base) and the Rehab items catalog (repair items grouped by category). Each catalog item can be priced as Flat (full New dollars) or **/sqft(ratetimesthedealslivingarea).Levelpreviewcolumnsfor/sqft** (rate times the deal's living area). Level preview columns for /sqft items show dollars per square foot. This is separate from Quick Per-square-foot rates, which apply to the whole-deal Quick $/ft² mode.
Upload your organization’s logo and choose where ProPilot uses it:
  • Email templates - the logo is available anywhere you insert the merge field in an email template.
  • Property PDF reports - an optional checkbox replaces the ProPilot logo in the top-right of downloaded combined property reports with your company logo. If you enable this before uploading a logo, reports keep using the ProPilot logo until one is uploaded.
Click Save company logo to apply. Only admins can upload, remove, or save logo settings.

Referrals

Invite another organization with your referral code. The referred organization gets a discount on its first billable cycle, and your organization earns a reward on its next billable cycle after the referred organization pays its first invoice. The exact percentages are shown at the top of the Referrals section.

Create your code

An admin clicks Create code in Organization > Referrals. The code appears with a creation date; Regenerate code replaces it later if needed.

Share it

Use Copy code to share the code itself, or Copy share link to share a signup link that pre-fills it. The full Share link is also shown in a copyable field.

Track results

The section shows Total redemptions, Pending rewards (redemptions waiting on the referred organization’s first paid invoice or on your next bill), and Rewards applied.
Referral rewards unlock only after the referred organization pays its first invoice. The referred organization enters your code at checkout in the Have a code? field - see Billing & Plans.

WhatsApp Operator

Only one person in the organization can be the WhatsApp operator. The operator is the only user whose WhatsApp replies can take actions; other teammates still receive WhatsApp notifications, but their replies are treated as read-only. Pick a teammate from the Operator dropdown and click Save Operator (admins only). Choose the person who handles escalations and pipeline approvals. See WhatsApp Notifications.

Timezone

The organization timezone is the single source of truth for operating hours and scheduled sending. Choose from Eastern (ET), Central (CT), Mountain (MT), Pacific (PT), or Arizona (AZ). Set it before relying on scheduled communication - the Operating Hours window is displayed and enforced in this timezone.

Usage

Usage shows your organization’s consumption for the current billing period (the start date is shown under the heading), with progress bars against your plan’s limits: SMS, Email, Voice Minutes, property lookups, rent estimates, AI tokens, ZIP codes, and phone numbers. It is read-only and visible to everyone. When a metric approaches its limit, consider upgrading - see Billing & Plans for what each plan includes.

Pipeline cleanup timers

The automatic pipeline cleanup windows are organization-wide settings, but they are configured in Pipeline Settings (the gear icon on the Deal Pipeline toolbar) rather than in this page:
  • Lost Auto-Delete - deals that sit in Lost longer than 30 days are removed automatically. The 30-day period is fixed and cannot be changed. Cards show a deletion countdown, and everyone sees it turn red during the final 7 days before removal.
  • Auto-Move to Revisit and Revisit Auto-Move to Lost - inactivity windows for the early stages and the Revisit stage.
Only admins can change the Revisit windows, and changes ask for confirmation with an impact preview first. See Deal Pipeline stages for the full rules.

Used by

Common questions

Admins and the owner can edit most sections. The organization name itself can only be changed by the owner. Members can view sections like Usage and Referrals but cannot change them.
Rehab defaults appear in the rail between Team & Roles and Deal Tags once rehab estimation is enabled for your organization. If you don’t see it, the feature isn’t active for your account yet.
On Deal Pipeline cards and in the pipeline filter bar. Tags are shared across the whole organization, so renaming or deleting one affects every deal that uses it.
When checked, downloaded combined property reports show your uploaded company logo in the top-right corner instead of the ProPilot logo. Email templates can always use the logo via the merge field once one is uploaded.
After the organization you referred pays its first invoice. Until then the redemption counts under Pending rewards. The reward is applied to your next billable cycle.
From the gear icon in the Deal Pipeline toolbar (Pipeline Settings), not from the main Settings sidebar. That is also where admins set the Lost Auto-Delete retention window and the Revisit automation windows.
